ADMINISTRATIVE ASSISTANT - Architectural Metal / Signage / Glass Industry Work Week: Monday to Friday Shift: 8:00 AM – 6:00 PM EST Location: Permanent Work From Home Job Summary We are looking for a highly organized and result-oriented Administrative Assistant to support daily operations, project coordination, compliance workflows, and executive support functions. The ideal candidate should have an Engineering or Technical background with experience in project coordination, operations, follow-ups, dashboard tracking, and stakeholder management. This person will also support the COO with operational and executive-assistant responsibilities whenever required. We need someone who is execution-focused, proactive, time-conscious, and strong at getting tasks completed rather than just sharing updates. Key Responsibilities Support daily operations, administrative workflows, and project coordination Assist the COO with task tracking, follow-ups, scheduling, and operational support Coordinate with vendors, subcontractors, clients, and internal teams Manage multiple inboxes, documentation, trackers, dashboards, and reports Follow up on pending tasks, deadlines, and project deliverables Support compliance documentation, certifications, insurance paperwork, and audits Maintain organized records, digital folders, and operational documentation Requirements Engineering degree preferred Experience in project management, operations, coordination, or administrative roles Strong follow-up and execution skills Excellent organizational and communication abilities Comfortable speaking with vendors and stakeholders over calls and emails Time-conscious, detail-oriented, and objective-focused Strong Excel, Google Sheets, MS Office, and reporting/dashboard skills Experience in construction, manufacturing, engineering, signage, glass, or metal industries is a plus
